July 2025: Google Meet and Google Workspace Update Recap

In July 2025, Google Meet and Google Workspace received numerous updates, introducing new features as well as enhancements to existing ones. These include ๐Ÿ“น Video Overviews in NotebookLM, the ability to send ๐Ÿ’ฌ chat messages during Google Meet livestreams, ๐Ÿ–ผ๏ธ thumbnail video previews in Google Drive and new ๐Ÿ”Š audio tools in Google Vids.

Continue reading to discover in more detail about these and more of the updates that rolled out last month.

Google Meet

At the start of July, the ability to ๐Ÿ“ค send in-meeting ๐Ÿ’ฌ chat messages whilst being a viewer of a Google Meet livestream was made available. In addition to already being able to ๐Ÿ“– read chat messages, being able to also send messages provides more opportunities to engage with the broadcast in real-time. Whilst access to it is controlled by meeting hosts, itโ€™s enabled by default.

๐Ÿ’ก Note: for hosts to allow viewers to send messages, viewersโ€™ ability to read messages must also be turned on.

The second update to Google Meet added more details to the after-meeting โœ‰๏ธ email notification, an email you receive after using Gemini to โœ๏ธ take notes during a call. The email now has a short ๐Ÿ“ summary and ๐Ÿ‘ฃ next steps in addition to a link to the complete notes document. That document can also contain a full ๐Ÿ“œ transcript of the meeting, if enabled. Meeting hosts now also have more control over who receives the notes, choosing between: all invited guests; invited guests within the organisation; or just hosts and co-hosts.

The ability to join ๐Ÿ”’ Client-Side Encrypted (CSE) Google Meet calls directly from Google Meet Hardware devices in meeting rooms was introduced last month. CSE ensures your call content is encrypted directly on your device, using ๐Ÿ”‘ keys only you and ๐Ÿ‘ฅ participants control, meaning Google servers cannot access it. To join, you simply select the meeting from the in-room agenda and authenticate from your personal ๐Ÿ“ฑ phone or ๐Ÿ’ป laptop, securely granting the room access based on your individual identity.

Google Workspace

Google Chat

A short video starting with a Venn diagram showing the Google and Lucid logos. As the logos are wiped from the screen, a conversation between two people is shown in the Google Chat app. One user asks the other for a sales document. The other acknowledges, then types /lucidsearch followed by the file title. After clicking send, the message automatically transforms into a rich preview of a Lucidspark document. The user then clicks on the preview to open the document in full.

During July, apps forย Lucidchart and Lucidspark were made available for Google Chat, enhancing your ability to collaborate directly within Chat. These apps allow you to ๐Ÿ‘€ see previews of shared Lucidchart diagrams and Lucidspark whiteboard ๐Ÿ”— links and quickly ๐Ÿ”Ž find and share your Lucid documents by typing โ€œ/lucidsearchโ€. The apps enable you to bring ๐Ÿ–ผ๏ธ visual context directly into conversations to improve clarity.

On the last day of July, Google extended the Workspace add-ons framework to include Google Chat, meaning ๐Ÿง‘โ€๐Ÿ’ป developers now only need one version of their app to deploy it across multiple Workspace apps, including ๐Ÿ’ฌ Chat, โœ‰๏ธ Gmail, ๐Ÿ“† Calendar and ๐Ÿ—ƒ๏ธ Drive. This means a single app can now provide features like ๐Ÿ”” external alerts or ๐Ÿ”— link previews directly within Chat, as seen with Lucidchart and LucidSpark. More third-party apps, including Asana, Figma and Trello, will also be coming soon based on this framework.

Google Docs

A short video showing an opened Google Docs file titled "Cymbal Financial Services Proposal" on a mobile device. The user taps the Gemini icon in the top-right corner which brings up the Gemini panel and prompt bar. After the user taps "Summarize this document", Gemini generates a summary. The user drags the grey rectangle at the top of the panel upwards to reveal more of the Gemini-generated summary along with thumbs up and down buttons which allow the user to rate the summary provided by Gemini.

Gemini in Google Docs began rolling out to iOS devices in more than 20 languages. With support for more languages, youโ€™ll be able to leverage โœจ Gemini to quickly ๐Ÿ“ƒ summarise long documents and ๐Ÿ’ฌ get answers to specific questions within files whilst on-the-go in languages like ๐Ÿ‡ซ๐Ÿ‡ท French, ๐Ÿ‡ฎ๐Ÿ‡น Italian and more.

๐Ÿ’ก Note: โ€œHelp me writeโ€, โ€œHelp me createโ€ and image generation are not currently available on mobile.

Google Drive

A short video of the Google Drive interface, showing a list of various files. On the right the Gemini side panel is open. The user sends a prompt asking Gemini to move a specific file to a specific folder. Gemini responds by asking the user to review and confirm the instruction to move the file to the indicated folder with the โ€œCancelโ€ and โ€œMoveโ€ buttons. The user clicks โ€Moveโ€ and a confirmation message is shown.

โœจ Gemini in ๐Ÿ—ƒ๏ธ Google Drive gained support forย organising files and folders with natural language, meaning you can now use prompts like โ€œCreate a new document in the Q1 sales folderโ€ to perform basic actions such as ๐Ÿ—„๏ธ moving files and creating ๐Ÿ“‚ folders, ๐Ÿ“„ documents, ๐Ÿ“Š spreadsheets and ๐Ÿ–ผ๏ธ presentations.

Enhanced Information Rights Management (IRM) controls were introduced to Google Drive, enabling file owners and shared drive managers to now restrict ๐Ÿ–จ๏ธ printing, ๐Ÿ“‹ copying and ๐Ÿ“ฅ downloading of ๐Ÿ“‚ files even for users with โœ๏ธ edit access. Those with editor permissions will still be able to edit the document, however they will not be able to copy and paste content outside of it.

Towards the middle of July, Google Drive for desktop received an update that consolidated sync activity, ๐Ÿ”” notifications and ๐Ÿ“‚ shared files into a single view, providing easier and quicker access to key information.

A screenshot of the Google Drive interface showing an open video file. The paused video shows a smiling woman with dark hair wearing a light blue top, gesturing with her right hand. At the bottom, the videoโ€™s progress bar is visible and the userโ€™s mouse cursor hovers over a later time in the video. At the cursor, a small picture displaying a thumbnail preview from that section of the video is shown. The video controls are visible along the bottom edge.

By the end of the month,ย thumbnail previews shown on the ๐Ÿ“น video's progress bar in Google Drive began rolling out. These let you quickly see snapshots of different sections of the video by hovering your ๐Ÿ–ฑ๏ธ mouse over the bar. This means youโ€™ll be able to easily preview content and jump to the exact part you need, saving you ๐Ÿ• time when reviewing footage or finding ๐Ÿ”‘ key information.

๐Ÿ’ก Note: thumbnail previews will only be available on newly-uploaded videos.

There were also new ways to train your custom ๐Ÿค– AI models for data classification introduced in Google Drive. This included support for training up to five different models โ€“ instead of just one โ€“ with various ๐Ÿท๏ธ label and field combinations. Thereโ€™s also now the ability to train the models on demand and an updated user interface that includes additional ๐Ÿ•ต๏ธ insights and training metrics, providing admins with more flexibility and information.

Google Calendar

Sharing calendars with others directly from the Google Calendar app on Android devices is now possible. Just like what's available on the ๐ŸŒ web, youโ€™ll have full control over sharing, allowing you to choose ๐Ÿ‘ฅ who views your calendar, what they can ๐Ÿ‘€ see and whether they have permission to โœ๏ธ edit them. This applies to your own ๐Ÿ“… calendars in addition to those you have permission to share.

Gmail

A short video showing the Gmail interface on a mobile phone screen. The video shows the user opening the left-side menu, navigating to the new subscriptions page and choosing an email sender from whom to unsubscribe.

In July, Google introduced a new feature in Gmail that conveniently ๐Ÿ“‹ย  lists all of your active subscriptions in one place. This makes it simpler to ๐Ÿ‘€ view your subscriptions and quicker to โŒ unsubscribe from the ones you no longer wish to receive. It's currently rolling out to both ๐ŸŒ web and ๐Ÿ“ฑ mobile, so you can keep on top of your inbox no matter where you are.

Building on their initial availability in the Gmail mobile app, automatic Gemini summary cards are now also available on the ๐ŸŒ web. The cards include an AI-generated ๐Ÿ“œ summary of the email ๐Ÿงต thread and can help you get up-to-speed with whatโ€™s been said. They will appear at the top of โœ‰๏ธ emails when you open them, similar to the ๐Ÿ“ฑ mobile experience.

By the end of July, you were able to insert your appointment schedule from ๐Ÿ“… Google Calendar directly into your email drafts, reducing context-switching and speeding up the process of finding a good time for your meeting.

NotebookLM

Google introduced ๐Ÿ“น Video Overviews in ๐Ÿ““ NotebookLM which build upon ๐ŸŽ™๏ธ Audio Overviews, allowing you to turn your ๐Ÿ“‘ research into AI-generated, narrated videos. Video Overviews provide dynamic ๐Ÿ‘ visual summaries that include ๐Ÿ–ผ๏ธ images, ๐Ÿ“Š diagrams, ๐Ÿ’ฌ quotes and ๐Ÿ”‘ key points from your uploaded sources. Similar to Audio Overviews, you will be able to customise the videos by specifying preferences. Also, the Studio Panel now includes the ability to create multiple Audio Overviews per notebook and share your content with others.

Gemini

๐Ÿ’Ž Gems, previously found only in the Gemini app, began rolling outย to the side panel of other Workspace apps: ๐Ÿ“„ Google Docs, ๐Ÿ“Š Sheets, ๐Ÿ–ผ๏ธ Slides, โœ‰๏ธ Gmail and ๐Ÿ“‚ Drive. This means you'll soon be able to use your ๐Ÿ–Œ๏ธ custom, specialised AI assistants instantly whilst you're working on a document, email or spreadsheet without having to ๐Ÿ” switch tabs or apps. This saves you ๐Ÿ•ž time by having the Gem jump into the action faster with the instructions it already knows โ€“ and without you needing to provide the same context every time.

A screenshot of the Gemini app interface with the title "Productivity plannerโ€. The description reads: "Stay on top of your work. Schedule tasks, daily updates, and weekly summaries from apps like Gmail, Calendar, and Drive to boost your productivity". Below this, there are four card-like suggested prompts. Under a "Recent" heading, two recent activities are listed: "Scheduling a Daily Work Brief" and "Gemini Offers Daily Work Brief". At the bottom, there's a prompt bar with the text "Ask Gemini".

In the middle of July, Google launched a new pre-made ๐Ÿ’Ž Gem: the Productivity Planner. The Gem aims to bring everything you need to stay organised into one place. It pulls information directly from Workspace apps like โœ‰๏ธ Gmail, ๐Ÿ—“๏ธ Calendar and ๐Ÿ“‚ Drive, allowing you to see urgent emails, review upcoming events and get the context needed to prioritise tasks for the day, all from within one app.

Veo 3, Google's text-to-video AI model, was integrated into the Gemini app at the end of the month. Veo 3 lets you generate ๐Ÿ“น videos with accompanying ๐Ÿ”Š audio using โœ๏ธ text prompts directly within the Gemini app, in addition to Google Vids and Flow. Youโ€™re also able to bring pictures to life, transforming any ๐Ÿ–ผ๏ธ static image into a video with features for animating objects or drawings.

๐Ÿ’ก Note: daily usage limits apply and vary depending on your Google Workspace tier.

Google Vids

A short video showing the Google Vids interface with a Vids file open for editing. The user clicks on the audio bar in the timeline below the preview window. On the right are the settings for that specific audio track, including volume, audio transition and automatic ducking. The user selects the "All tracks" tab and clicks the "Apply to all audio" button to balance the sound across all tracks in every scene. A small pop-up notification then appears confirming "All audio is balanced".

There were twoย new audio features that launched into ๐Ÿ“น Google Vids last month: firstly, ๐Ÿ”Š automatic volume levelling to balance all audio (voices, music and other sounds) in ๐ŸŽฌ scenes; and secondly, ๐Ÿฆ† audio ducking to automatically lower background ๐ŸŽต music when other audio begins to play. Both aim to help enhance the clarity of the primary or spoken audio.

Google Sites

A short video showing the homepage of the Cymbal website, built in Google Sites. The user clicks the search icon in the top right-hand corner, then proceeds to search for the word "study". A list of all of the locations where "study" appears is displayed. There are two lists, separated by "this site" and "embedded files". The first list shows results where the word โ€œstudyโ€ appears on the page and the second list shows where it appears in embedded files, such as images, Google Docs, PDFs and more.

๐Ÿ”Ž Searching for content in Google Sites will nowย provide more comprehensive results. Search results now include information from within embedded ๐Ÿ“‚ files like Google Docs, Sheets, Slides and PDFs in addition to the ๐Ÿ’ฌ text directly on the pages. This helps you find what you're seeking more quickly by looking for both the visible content and the data within ๐Ÿ”— linked files.

๐Ÿ’ก Note: new and republished sites will have this feature soonest; existing sites will see this over time.

Google Admin Panel

July started with Google updating and expanding the device event reporting that gets logged for Google Meet Hardware. For ๐Ÿง‘โ€๐Ÿ’ป admins this is useful for both ๐Ÿ” security and ๐Ÿ”ง troubleshooting. Some existing event types were also renamed, potentially affecting some existing scripts and automations. Additionally, when admins now make a change to a Google Meet Hardware device (such as changing its settings or OU membership), the logged information will be much more specific about what was done.

Additionally, towards the end of the month, event types recorded in audit logs relating to Google Meet Hardware were renamed to remove outdated terminology. Specifically, changes made to your devicesโ€™ ๐Ÿ  home screen, release channel,๐Ÿ’ก display power saving and ๐Ÿ“ฑ call phones settings will now be recorded under an โ€œApplication Settingโ€ event type, removing old "Chromebox" references.

Gemini audit logs introduced last month โ€“ which are available through the investigation tools in the Google admin panel and also the ๐Ÿ“‘ Reporting API (Admin SDK) โ€“ make it possible for admins to see exactly how people are using โœจ Gemini in the Gemini app as well as other Workspace apps. These new logs can help admins identify, analyse and understand which features are being utilised and where.

Following the launch of Google AI Ultra for Business in June 2025, it was made available in over 75 additional countries. Google AI Ultra for Business is a Google Workspace add-on that provides access to higher usage limits, the latest AI models and ๐Ÿงฐ tools like Flow and Whisk.

๐Ÿ’ก Note: access to some AI features and tools vary depending on location.

AppSheet

A short video of a user uploading an image to AppSheet of a book cover from which Gemini can extract information. The user uploads the image and clicks save. AppSheet then shows a list of all uploaded book images. The user clicks on the image they had just uploaded and previews the information extracted from the cover. Information includes the bookโ€™s title, author, colour, publisher, language and more.

In the middle of July, the ๐Ÿค–ย AI Task became generally available in the AppSheet, offering ways to streamline workflows, categorise data and extract information. This includes pulling details from ๐Ÿ–ผ๏ธ images and unstructured text, understanding complex ๐Ÿ“„ PDFs, ๐Ÿ“‘ categorising and prioritising incoming requests and leveraging information from linked tables using ๐Ÿ“Š REF types in spreadsheets. You can also test AI steps directly within your workflows to ensure correct functionality.

๐Ÿ’ก Note: testing these AI steps now counts towards your usage limits.
